This policy explains how Aircloud Technologies handles personal data when you visit our corporate website, contact us or make a product enquiry.

Effective date: 7 September 2026

1. About this policy

Aircloud Technologies Sdn. Bhd. (company no. 202501025099 (1626512-A)) (“Aircloud”, “we”, “us” or “our”) is the data controller responsible for personal data processed through this corporate website. We process personal data in accordance with Malaysia’s Personal Data Protection Act 2010 and applicable amendments, regulations and standards (“PDPA”).

This policy applies to aircloudtech.com and our corporate enquiries. Aircloud products, including FocusHatch, DahScan and Pitzie, may provide additional product-specific privacy notices where their processing activities differ from those described here.

2. Personal data we collect

We may collect the following categories of personal data:

  • Contact and identity information: your name and email address.
  • Business information: your company or organisation and the Aircloud product or service that interests you.
  • Enquiry information: the message and other details you choose to provide when contacting us.
  • Technical information: information ordinarily generated when you access a website, such as IP address, browser type, device type, access time, requested pages and security or diagnostic logs. This information may be processed by our hosting and infrastructure providers.
  • Communications: subsequent emails, calls, meeting notes and other correspondence relating to your enquiry or business relationship with us.

We collect this information directly from you, automatically through website and infrastructure logs, or from your authorised representative or organisation.

3. Information you must provide

Your name, email address and enquiry message are required if you use our contact form because we need them to understand and respond to your request. Company and product-interest information are optional. If you do not provide required information, we may be unable to respond or provide the requested information, demonstration or quotation.

4. How we use personal data

We may process personal data to:

  • receive, assess and respond to enquiries;
  • arrange product demonstrations, discussions, proposals and quotations;
  • provide requested information and manage prospective or existing customer relationships;
  • operate, secure, troubleshoot and improve our website, systems and services;
  • prevent misuse, fraud, spam and security incidents;
  • maintain business, compliance and communication records;
  • establish, exercise or defend legal rights; and
  • comply with applicable laws, regulatory requirements and lawful requests.

Where required by law, we rely on your consent. We may also process data where necessary to take steps at your request, perform a contract, comply with legal obligations, protect legitimate interests or as otherwise permitted by the PDPA.

5. Disclosure and service providers

We do not sell or rent personal data. We may disclose personal data only where reasonably necessary to:

  • service providers that support website hosting, form delivery, email, cloud infrastructure, security, communications and technical operations;
  • professional advisers, auditors, insurers and contractors subject to appropriate confidentiality obligations;
  • regulators, law-enforcement agencies, courts or government authorities where required or permitted by law;
  • parties involved in a proposed or completed corporate transaction, subject to appropriate safeguards; or
  • other parties when you instruct us or give your consent.

Our website contact form is processed through Web3Forms. Information submitted through the form is transmitted to Web3Forms for delivery to Aircloud. Web3Forms acts as a service provider and processes information under its own applicable privacy and security terms.

6. International transfers

Some service providers may process or store personal data outside Malaysia. Where personal data is transferred internationally, we take reasonable steps to ensure that the transfer is permitted under the PDPA and that the data receives a standard of protection comparable to applicable Malaysian requirements, including through contractual, organisational or technical safeguards where appropriate.

7. Cookies and website logs

At the effective date of this policy, this corporate website does not intentionally use advertising cookies, behavioural profiling or third-party analytics. Essential technical data may nevertheless be processed by your browser, our hosting provider and security infrastructure to deliver pages, maintain availability and protect the website. If we introduce non-essential cookies or analytics, we will update this policy and provide any notice or choice required by law.

8. Retention

We retain personal data only for as long as reasonably necessary for the purposes described in this policy. General enquiries are normally retained for up to 24 months after our last meaningful interaction, unless the enquiry develops into a customer or commercial relationship or a longer period is needed for legal, accounting, security or dispute-resolution purposes. When data is no longer required, we take reasonable steps to delete, anonymise or securely dispose of it.

9. Security

We apply reasonable administrative, technical and organisational safeguards appropriate to the nature of the personal data we process. These may include access controls, secure transmission, service-provider reviews, backups, monitoring and procedures for responding to suspected data breaches. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security.

10. Your rights

Subject to the PDPA and any applicable exceptions, you may have the right to:

  • request access to personal data we hold about you;
  • request correction of inaccurate, incomplete, misleading or outdated personal data;
  • withdraw consent where processing is based on consent;
  • request that we limit or prevent certain processing, including direct marketing;
  • request data portability where the applicable legal requirements are met; and
  • raise a concern or complaint about our handling of your personal data.

To exercise a right, email us using the details below. We may request information necessary to verify your identity and may decline or limit a request where permitted by law. Withdrawing consent does not affect processing already carried out lawfully and may affect our ability to provide certain services.

11. Children’s data

This corporate website is intended for business users and is not directed to children. We do not knowingly collect personal data from children through this website. If you believe a child has provided personal data to us, please contact us so we can review and take appropriate action.

12. Third-party websites

Our website may link to third-party websites or services. Their privacy practices are governed by their own notices, and Aircloud is not responsible for how those third parties process personal data.

13. Changes to this policy

We may update this policy to reflect changes in our practices, services or legal obligations. The current version will be published on this page with a revised effective date. Material changes may also be communicated through other appropriate channels.
